1. Commencement of Meeting: The CMU staff gathered at the Committee Room at the scheduled time, awaiting firms seeking clarifications during the Pre-Bid meeting.
2. Questions and Responses: 

a          Question: 1000 kVA Distribution Transformer and 11 kV Protection Panel:
M/s HAMProTech raised a query regarding the requirement that the 1000 kVA Distribution Transformer and 11 KV Industrial Protection Panel be approved by IESCO/WAPDA.

Response: The Procurement Committee clarified and agreed that the 1000 KVA Distribution Transformer and 11 KV, 630 A UCB Industrial Protection Panel shall be manufactured by WAPDA/IESCO-approved manufacturers.

b.         Question: Testing Procedure?

M/s HAMProTech raised a query regarding the testing procedure specified in the bidding documents.

Response: The Procurement Committee clarified that the required testing shall be carried out at the manufacturer’s premises, and the relevant test certificates shall be submitted accordingly.

c.         Question: Time Line for Delivery is 30 Days:

M/s HAMProTech requested that the delivery period of 30 days, specified after award of the contract, be extended to a minimum of 60 days.

Response: The Procurement Committee clarified that, in accordance with the Standard Bidding Documents, the stipulated delivery period is 30 days. Therefore, the existing delivery timeline shall remain unchanged.

d.         Question: What is the process of 2nd outgoing of 400KVA?

M/s HAMProTech sought clarification regarding the provision/process for the 2nd outgoing of the 400 KVA Transformer.

Response: The Procurement Committee clarified that the with reference to the query regarding the provision/process for the 2nd outgoing of the 400 kVA Transformer, it is clarified that the contractor shall make the necessary arrangements for two outgoing supplies from the 11 kV Industrial HT Protection Panel.
The 11 kV Protection Panel shall be provided with 2 × outgoing, for 1000kva and 400 KVA.

2.      EPAD System Query Check: The EPADS system 2.0 Version was reviewed for any queries related to the tender. No queries had been submitted by any firms as of the meeting date.

3.      Next Steps: Based on the discussions, the undersigned (processing officer) may be requests for approval to upload the minutes meeting of the Pre-Bid Meeting on the EPAD System 2.0            Version (PPRA) for further processing.
